Using MOVEit Transfer Ad Hoc module to send files
The way that Ipswitch has written the Ad-Hoc module allows users to create rich text secure emails (“packages”) within the MOVEit system. Files are then uploaded to MOVEit and a hyperlink to download them is inserted into the package. When the user sends the package, an email goes to the recipient with a hyperlink to it; in this way, the whole communication is protected by MOVEit encryption.
The Ad-Hoc module is configured by an organisation administrator through the settings screen:
Looking at the various options, the first link (Registered Senders) determines who can use the module; you can limit this to certain groups or allow all users to send packages. The “Unregistered Recipients” link is used to handle sending of packages to users who are not currently known to MOVEit. Here you can restrict the email domains that your users can send packages to (for example, block gmail accounts or competitors domains).
The “Unregistered Senders” link allows you to permit trading partners to self-register on your MOVEit system to send packages to your users. This is a great opportunity to reduce administration overheads by allowing end-users to perform self-management, and as they need to know the email address of a recipient in order to register, there is no security hole. You may also limit self-registration based upon the end-users email domain.
Most of the rest of the configuration can be left as standard, however it’s a good idea to set the Ageing and Expiration policy yourself:
These settings for example will allow you to keep the size of your system down to a reasonable level, while still providing the ability to recover old packages (note that archiving will not preserve files attached to packages).
You create a package using the “New Package” button. Most of the functionality is the same as in any webmail application, however some useful things to look for are (1) The Check Recipient button – useful when sending to “known” recipients; (2) The Delivery Receipts button; (3) the file upload wizard button.
Of course, if your users are using Microsoft Outlook, you can instead use the Outlook Plug-in:
